DTPBX E-Fax (Send and Receive)

Important Concepts

E-Fax Setup for Tenant: While DTPBX does offer e-fax capabilities for subscribers, not all tenants are configured for e-fax. If you do not have login credentials for DTPBX, or have continued using traditional fax machines after DTPBX implementation, you may need to open a support ticket to have e-fax services configured. (this may include either porting your current fax telephone number, or providing you with a new one)

User Accounts: You will need a user account for every person who needs to access your company's fax portal. We provide named user accounts and require Multi Factor Authentication (MFA)

Notifications: Notifications for received faxes are sent via email to an email address of your company's choosing. (To maintain HIPAA compliance, DTPBX by default sends notifications only (no attachment), and users click the link in the email and must be log in to retrieve the fax.)

Outbound File Types: When sending faxes via DTPBX, attached pages need to be in PDF format (so, make sure your scanner is configured as such when you scan).

Retention: DTPBX has a maximum retention period of 1 year for all received/sent fax content. Please do not use the DTPBX fax inbox as a storage location - you are encouraged to download and process your faxes and then delete them from DTPBX.

Sending a Fax with DTPBX

  1. Log into DTPBX (if you lack any of the following, open a support case):
    1. Tenant Address (e.g. https://businessname.dtpbx.com)
    2. Username
    3. Password
  2. Navigate to Apps > Fax
  3. Within the 'Fax' screen you will see the list of fax phone numbers/inboxes - some customers have multiple, you will likely have a single row on this screen.
  4. Click 'New' on the row for the fax account you want to send from
  5. In the following screen, the only required field is 'Fax Number', however you will likely want to complete:
    1. From: A friendly name on the cover sheet
    2. Fax Files: additional pages beyond the cover sheet - attach PDFs here
    3. Subject
    4. Message - short message for the cover sheet
  6. Note: For your convenience, DTPBX automatically generates a cover sheet in the fax with the information on this screen.
  7. Click 'Send' in the upper right to send the fax

After sending the fax, you can check its outbound status via the 'Queue' function on the 'Fax' screen.

Receiving Faxes

Receiving faxes is a fairly passive operation:

  1. When a fax inbox receives a new fax, it will process it and send an alert to the configured notification email address.
  2. The notification email will contain a direct link to the content of the fax for download.
  3. When a user clicks this link, if they are logged in to DTPBX already, the fax will be promptly downloaded; if the user is not currently logged in, they will be prompted for authentication, and on doing so will download the fax content.
